AI phone assistant: the business phone that answers on its own
An AI phone assistant — you will also see it called a "digital assistant for businesses" or a "smart answering service" — is the new generation of phone reception: it answers your business calls, converses in natural Greek and completes the request within the call. In this guide we explain what it does in practice, how it differs from the answering machine and the voice menu, how it connects to your line, and which criteria matter before you choose.

What is an AI phone assistant?
An AI phone assistant is software that answers a business's phone and talks with the caller in natural language. It understands what the customer wants, answers basic questions, books appointments in the business calendar and takes a message when the matter needs the owner. In other words, it works like an assistant at the front desk: it picks up the phone, sorts the requests and leaves for you only the ones that genuinely need your answer.
The terminology has not settled yet: you will come across the same tool as a "digital assistant for businesses", a "smart answering agent" or an "AI answering service". For the sibling term that puts more weight on answering the call itself and on cost, we have a separate guide: AI phone assistant: the answering agent that never misses a call. Here we focus on the assistant role: what it takes on in practice, how it connects to your line, and how to evaluate it.
How it differs from the answering machine and the voice menu
An answering machine plays a recorded message and records whatever the caller says — the actual service is left for later, and in practice many callers hang up without leaving a message. A voice menu (IVR) routes the call with "press 1, press 2": it suits large call centres, but it forces the customer to adapt to the system.
An AI phone assistant follows the opposite logic: the customer speaks in their own words, and the system does the work — it answers, asks for whatever is missing and completes the request within the same call. You will find the detailed comparison with the previous generation in our guide Answering machine or AI receptionist?
What the phone assistant does in practice
In the day-to-day of a small business its role is specific:
- It answers when you can’t. When the line is busy, when you are serving a customer or when the call comes in outside working hours, the assistant picks up the phone and serves the caller — no call rings into the void.
- It books appointments within the call. It checks availability, agrees the time with the customer and writes the appointment directly into the business calendar — no second phone call needed.
- It takes a message and keeps you informed. When the matter needs your judgement — a cancellation, a complex request — it records who called and what they asked for, so you can get in touch yourself.
One simple transparency rule applies throughout: the assistant introduces itself as a digital assistant from the start of the call and never pretends to be human — this is also what the European rules on artificial intelligence require. For the broader picture of the category, see our guide What is an AI receptionist, and how to choose one.
How it connects to your line
Through simple call forwarding — and you keep the number your customers already know. With your phone provider you set when a call is forwarded to the assistant: for all calls, or only when the line is busy, when you don’t pick up, or outside working hours. The rest you answer yourself, as always.
There is no new number, no new equipment and no technician on your premises. Forwarding is switched on and off from your own phone, so you always stay in control of how and when the assistant answers.
How to choose an AI phone assistant: four criteria
The market is new and the differences between solutions are large. Before you commit, check four things:
- Natural Greek. Ask to hear a real conversation — Greek is a demanding language for voice systems, and the difference is audible from the very first sentence.
- Appointments within the call. "Takes a message so you can call back later" is one thing; "books the appointment directly in your calendar" is quite another. The second saves both you and the customer a second call.
- AI transparency. The assistant must introduce itself as a digital assistant. A provider that presents it as human exposes you to your customers and to the EU rules.
- GDPR. Ask for a clear answer: the call data should be stored in the European Union and used only to serve the call and the appointment.
Frequently asked questions
What is an AI phone assistant?
It is software that answers a business's phone and talks with the caller in natural language: it understands what they want, answers basic questions, books appointments in the business calendar and takes a message when the matter needs the owner.
How is a phone assistant different from an answering machine?
An answering machine plays a recorded message and records whatever the caller says — the actual service is left for later. An AI phone assistant has a conversation: it answers what the customer asks and completes the request, such as an appointment, within the same call.
Do you need a new number or equipment?
No. The phone assistant connects through simple call forwarding: you keep the number your customers already know and forward to the assistant only the calls you cannot get to — when busy, outside working hours or on missed calls. No devices and no technician.
Does the customer realise they are talking to artificial intelligence?
Yes. A serious phone assistant introduces itself as a digital assistant from the start of the call and never pretends to be human — this is also required by the European rules on artificial intelligence.
Where is the call data stored?
In a sound solution the data is stored in the European Union and used only to serve the call and the appointment, as the GDPR requires. Ask every provider for a clear answer on where the data is stored and how long it is retained.
