An AI receptionist for medical practices: every call answered, every appointment booked
Published:
GP, internist, dermatologist, ophthalmologist — whatever the specialty, the practice phone rings in the middle of an examination. Parousa is an AI receptionist for medical practices: she answers in natural Greek around the clock, books and moves appointments in your calendar, takes messages and keeps you informed of every call.

A day on the practice phone
A medical practice’s phone has a rhythm of its own. In the morning, before the door even opens, the calls for the week’s appointments pile up. During examinations come the changes: the patient who cannot make it, the one who wants something earlier, the one cancelling at the last minute. Around midday people ask about results and request repeat prescriptions. And after closing — in the evening, at the weekend — the ones who could not call during their own working hours ring in.
If you have a receptionist, she knows this rhythm by heart; she also knows she cannot catch all of it: while she is looking after the patient at the desk, the phone rings out. If you do not, you pick it up yourself between two examinations — or nobody does. And the patient who gets no answer rarely calls back: they find the next practice on the list. How many appointments is that a month? See a simple worked example of missed calls at a practice.
What the AI receptionist takes on at a practice
Parousa works alongside you and your receptionist, not instead of you. She takes the calls nobody can get to and sees them through:
- She books new appointments. She works it out with the patient, sees the slots that are genuinely free and writes the appointment straight into the practice calendar, with a name and a contact number. The patient gets a confirmation by SMS or email and a reminder before their time.
- She handles changes and cancellations. When a patient asks for another day or cannot come, she records the request with every detail and lets you know, so you know which slot has freed up.
- She answers after hours. Evenings, weekends, holidays: the patient who calls when the practice is closed books on the first call instead of reaching voicemail.
- She takes messages about prescriptions and results. A repeat-prescription request or a question about results is recorded as a message — who called, what they asked, where to reach them — and reaches you. The answer is yours to give.
- She answers the routine questions. Opening hours, address, what a patient should bring to a first visit: whatever you have set, in your own words.
- She takes online bookings too. Your practice gets its own booking page: anyone who would rather not phone sees the free slots and books for themselves, in the same calendar.
You keep the number your patients know. You simply forward to Parousa the calls you cannot get to — when the line is busy, when you are with a patient, when the practice has closed. And at the end of the month you see in plain numbers what the phone brought in: how many calls came, how many became appointments, at which hours it rings most.
What she does not do — on purpose
An AI receptionist for a medical practice is a receptionist, not a doctor. She gives no medical advice, does not assess symptoms and will not say whether a medicine is “right” or not. When a patient asks for something that needs medical judgement, Parousa does not improvise: she records the request, tells the patient you will be informed and passes it to you straight away. The same goes for prescriptions: she takes the message, promises nothing about issuing one and says nothing about dosages.
She is just as clear about what she is. At the start of every call she states that the patient is speaking with an automated digital assistant and that the call’s details are used only to manage the appointment — you will hear it in the recording below, within the first few seconds. Since 2 August 2026 that disclosure is also an obligation under the EU’s Artificial Intelligence Act (Article 50); Parousa was built to make it on every call.
Hear how she answers a real call
The recording is from a dental practice — but it is the same mechanism that answers at a medical practice: the disclosure that a digital assistant is speaking, answers to questions about price and duration, a change of time when the patient reconsiders, and the appointment booked before the line is closed. Two minutes and 48 seconds, uncut. The call is in Greek; the transcript carries an English translation.

AI receptionist or a phone answering service for your practice?
If you are looking for the service under the name the market has used for years — a phone answering service for medical practices, meaning someone outside the practice who picks up your phone — we have a separate page on phone answering for medical practices and on what changes when AI takes it over. This page is about the AI receptionist herself: what she does inside the call, what she does not do, and how she sounds. If you want the big picture first, start with what an AI receptionist is.
Frequently asked questions
What happens when a patient phones for a repeat prescription?
Parousa takes it as a message: who called, what they asked for in their own words, and the number to reach them on. The message comes to you and you decide. She does not promise the patient that the prescription will be issued and says nothing about medicines or dosages.
Does she give medical advice or answer questions about symptoms?
No. An AI receptionist for a medical practice is a receptionist, not a doctor. When a patient asks for something that needs medical judgement, Parousa does not improvise: she records the request, tells the patient you will be informed and passes it on to you straight away.
A patient calls to move their appointment. What does Parousa do?
She records the request with every detail — which appointment, which new day or time the patient is asking for — and lets you know, so you know which slot has freed up and can give it to someone else. New appointments she books herself, directly in the practice calendar, with a confirmation and a reminder to the patient by SMS or email.
At what hours does the AI receptionist answer?
Whichever hours you set. She can answer permanently, only when the line is busy or you cannot get to it, or only outside opening hours — evenings, weekends, holidays. She herself is available around the clock; you choose when to hand her the calls.
Does it suit every medical specialty?
Any practice that runs on appointments: general practitioners, internists, dermatologists, ophthalmologists, ENT specialists, gynaecologists, paediatricians, cardiologists. Services, durations and opening hours are configured for your own practice. It is not meant for hospitals or emergency services.
How does it connect to my practice — do I need equipment?
No. You keep the number and the carrier you have and forward to Parousa the calls you cannot get to, with a code from your handset. Appointments are written into the calendar you already use — Google Calendar or Microsoft 365 / Outlook — with two-way sync, so a slot you booked yourself is never given away again on the phone.
